FY 2011 Annual Report

For FY 2011 (July 1, 2010 - June 30, 2011), the biggest challenge of the year facing the IT Department was setting up the Network, P/Cs, phone system, and interactive white boards for the final phase of the new Quincy High School, but it was not the only major project. The following is a list of accomplishments for the fiscal year:

Completed Projects 

  • 1. New Quincy High School: Completed the network, phones, and smart classroom;
  • 2. North Quincy High School: Installed new interactive white boards in 33 class rooms and set up network for five new computer labs.
  • 3. Health Department: Moved network and phone system from Quincy Fair Mall to new Kennedy Senior Center.
  • 4. Elder Services: Moved the Elder Services network and phone system from old location to the new Kennedy Senior Center.
  • 5. Commission on the Family: Relocated network and phone system to the former Elder Services building on Saratoga St.

 New Projects

  • 1. Began work to install wireless network and flat screen bulletin boards in North Quincy High School.
  • 2. Began work on new Public Safety Radio infrastructure to meet new federal law going from a analog radio to a new narrow banded digital radio system.
  • 3. Began work on bringing the GIS to all city departments and city website.
  • 4. Began working on Technology plan for new Central Middle School.

Ongoing Work

 The IT Department is responsible for almost all of the City of Quincy's printing and mailing. In FY 2011 the department set up a new post card format to save on postage for winter parking regulations and recycling information. Regular tasks include:

 

  1. Processing, printing and mailing Water bills, Tax bills, and Auto Excise bills.
  2. Processing, printing and mailing Payroll and Vendor Payment Checks
  3. Processing, printing and mailing Annual City Census
  4. Printing and mailing School Contact and Report Cards.

 

During the year 3 million images (printed pages), were prepared on our computer printing system with a total of 24,000 individual jobs. In addition 390,500 pages were printed for manuals, letterhead, booklets, and business cards. This resulted in tens of thousands of dollars in savings for the city.

 Software

The IT Department assists other departments increase efficiency by automating their business processes. In FY 2011 the following projects were completed:

  1. Rewrote outdated program and set up the new database for births, deaths, and marriages in Clerk's Office Vital Statistics.
  2. Developed and installed new database for snow contractor tracking and billing system.
  3. Developed and installed new database to track sidewalk repair.
  4. Developed and installed new database system for contract management for Municipal Finance and Purchasing.
  5. Developed and installed new database for Parking Garage revenue management .
  6. Developed and installed new database for traffic and parking ordinances sign management system.
  7. Developed and installed new database for fleet maintenance for DPW garage.

 Personal Computers

The IT Department is responsible for purchasing and maintaining hardware and software for all city departments. In FY 2011 the IT Department 

  1. Received 867 requests for P/C and printer repairs.
  2. Replaced P/Cs and printers Water for new software for radio read of water meters.
  3. Setup new P/Cs with large flat screens in fire dispatch for new dispatch software.

 Telecommunications

The IT Department is responsible for purchasing and maintaining the phone systems, telephones and cell phones for all city departments, and manages the central billing for all phones, including the school department. In FY 2011 the IT Department

 

  1. Received 300 calls for moves and repairs to the City's phone system.
  2. Moved several phone systems from the Old Quincy High School and Coddington Building  to the New Quincy High School.
  3. Setup Brand voice over IP phone system in the new Quincy High School.
  4. Continue to audit phone system to reduce the monthly telephone bill.
